Cancellation & Refund Policy

1. Applicability

This policy applies to all payments received by Bharte Kadam Foundation (hereafter ā€œthe Foundationā€), including but not limited to:

  • Donations (online, offline)
  • Event registration fees
  • Fundraising campaign contributions
  • Any purchase made via the Foundation for fundraising purposes

2. Donations

  • All donations made to the Foundation are voluntary contributions to our programmes and are non-refundable, unless required by law or unless there has been an error in processing.
  • If you believe a donation was made in error (for example: duplicate payment, incorrect amount) please contact us within 7 days of the transaction. We will review on a case-by-case basis and may either:
    • Process a refund of the erroneous amount; or
    • Re-allocate the amount to the intended programme, with your approval.
  • After the 7-day period, all donations are considered final and will be used for the charitable activities of the Foundation.

3. Event Fees / Fundraising Campaign Payments

  • If you register for an event or make a payment as part of a fundraising campaign and later wish to cancel your participation, you must notify us in writing at least [number of days] days before the event/campaign start date.
  • Cancellation requests made in time may be eligible for:
    • A full refund; or
    • A transfer of your registration (with no additional fee); or
    • A partial refund, at the discretion of the Foundation.
  • Cancellation requests made after the deadline or during/after the event are not eligible for refunds.
  • If the event is cancelled by the Foundation for any reason, you will be offered the choice of either:
    • A full refund of the fee paid; or
    • A credit for an equivalent amount towards a future event of the Foundation.

4. Method of Refund

  • Refunds (if approved) will be processed to the original mode of payment used at the time of transaction, unless otherwise agreed.
  • The Foundation will endeavour to process approved refunds within [number of days] working days of approval.
  • Please note: any transaction fees, bank charges or currency conversion fees incurred may be deducted from the refund at the discretion of the Foundation (if applicable and if such deduction was part of the original payment).

5. Cancellation by the Foundation

  • The Foundation reserves the right to cancel or postpone an event, campaign or programme at its discretion (for example, due to insufficient participation, force-majeure, regulatory changes, venue problems, etc.).
  • In the event of Foundation-led cancellation or postponement, registrants/donors will be informed as soon as possible.
  • In such cases, you will be offered either a full refund or an opportunity to participate in the rescheduled/new event/campaign (as applicable).

6. Errors, Fraud or Duplicate Payments

  • If you believe a payment has been made in error (e.g., duplicate submission, incorrect amount, unauthorised transaction), please notify us within 7 days using the contact details below and provide supporting documentation.
  • On verification, the Foundation may approve a refund (for the erroneous portion) or credit the amount to your next donation/registration, at our discretion.

7. How to Request a Refund or Cancellation

    1. Your full name
    2. Transaction reference number / registration ID
    3. Date of transaction
    4. Payment amount
    5. Reason for cancellation or refund request
    6. Bank/UPI/payment gateway details (if refund to be processed)
  • We will acknowledge your request within [number of working days] and aim to provide a final decision within [number of working days].

8. Modifications to the Policy

  • The Foundation may modify this policy at any time. Changes will be effective immediately upon posting on our website and will apply to all payments made on or after the date of posting.
  • For payments made prior to any change, the policy in effect at the time of the transaction will apply.
